Project Coordinator

 

Description:

The Project Coordinator will play a key role in supporting the execution of design projects from start to finish. You will be responsible for coordinating project timelines, communicating with internal teams and clients, and ensuring smooth workflow and efficient resource management. This role requires strong organizational skills, the ability to manage multiple priorities, and a passion for design and creativity.

 

Key Responsibilities:

 

  • Project Coordination:
  • Assist in the planning, scheduling, and execution of graphic design projects.
  • Coordinate project timelines, resources, and deliverables to ensure that all phases of a project are completed on time.
  • Manage project schedules and ensure deadlines are met by tracking progress and updating stakeholders.
  • Client & Team Communication:
  • Serve as a liaison between the design team, clients, and vendors, ensuring clear communication throughout the project lifecycle.
  • Gather client feedback and ensure that design revisions and adjustments are completed to client satisfaction.
  • Schedule and lead project meetings, taking notes and ensuring that action items are followed up on.
  • Resource Management:
  • Track project budgets and expenses, ensuring projects stay within scope and budget.
  • Coordinate the allocation of resources (designers, copywriters, etc.) and track workloads to optimize efficiency.
  • Ensure all project documentation (contracts, proposals, timelines, etc.) is organized and up-to-date.
  • Quality Control & Deliverables:
  • Ensure that all final deliverables meet quality standards and client expectations.
  • Conduct regular project status reviews, identifying any risks or issues and providing solutions as needed.
  • Monitor the post-project phase for feedback and ensure proper handoff or follow-up with clients.
  • Administrative Support:
  • Maintain project files and records, both digital and physical.
  • Assist in the preparation of project proposals, contracts, and other documentation as required.
  • Provide administrative support to the project management team as needed.

 

Qualifications:

 

  • Education & Experience:
  • Bachelor’s degree in Business Administration, Project Management, Graphic Design, or a related field (or equivalent experience).
  • 1-3 years of experience in project coordination or management, preferably within a creative environment or design agency in the US market.
  • Skills & Attributes:
  • Strong organizational and time management skills, with the ability to manage multiple projects simultaneously.
  • Excellent communication skills, both written and verbal, with a knack for keeping all parties informed.
  • Proficiency with project management tools (e.g., Asana, Trello, Monday.com) and Microsoft Office Suite (Word, Excel, PowerPoint).
  • Basic understanding of graphic design processes and terminology (Adobe Creative Suite knowledge a plus, but not required).
  • Detail-oriented with a focus on delivering high-quality work on time and within budget.
  • Ability to work in a fast-paced environment and adapt to changing priorities.
  • Bonus Skills:
  • Experience working in the creative industry or a design-focused environment.
  • Familiarity with client management and communication platforms (e.g., Slack, Basecamp, or similar tools).
  • Basic understanding of web design, UX/UI, or print production.
