Role Purpose

Provide procurement and logistics services, including but not limited to, procuring goods and services in accordance with global British Council procurement policy and standards.

Main Accountabilities

  • Coordinate and facilitate the approved requisition of goods and services, raising Purchase Orders, against goods / services and invoice receipting, and assisting procurement manager in the preparation of bid invitations.
  • Facilitate selection of appropriate vendors and procurement methods based on procurement requirements.
  • Monitor and review progress of contractual agreements, review invoices for payment.
  • Create and maintain procurement records, including electronic records in the Enterprise Resource Planning (ERP) system, SAP, and other systems whilst ensuring accuracy and integrity of data.
  • Resolve problems or disputes as required under the guidance of the Manager Purchase.
  • Contact vendors or agency representatives to inquire about existing and new product information, solicit bids, develop requests for quotations; and confer with vendors regarding damaged goods, delayed payments, or related information.
  • Responsible to work and manage Procurement KPIs to keep compliant.
  • Follow up with SBUs on open Pos, pending GRs and invoices.
  • Need to guide SBUs on day-to-day basis if they need guidance pertaining to system and processes.
  • Will also be responsible to create vendors nationally in system.

Child Protection

  • Ensure that child protection implementation standards are followed in procurement of goods and services and escalate child protection concerns to the Head of Child Protection Pakistan.
  • Due diligence for child protection is conducted for third parties.
  • Random visit to partner/vendor premises or monitor to assess CP status and develop the vendors with improved CP conditions.

The post holder will need to develop successful relationships with;

  • Purchase requisitioner’s for all SBUs
  • Local and SSC Finance team
  • Shared Services Centre - SAP Team
  • Relevant Global Service Desk contacts

Minimum/Essential

Role-specific Knowledge and Experience:

  • Minimum BBA or equivalent
  • +2 years of relevant experience

Desirable

  • High level of proficiency in SAP or equivalent ERP
  • Ms Office
