Description:
As an Operations Coordinator, you will play a crucial role in managing and streamlining the scheduling process between our clients and their sales meeting prospects. You’ll act as the central point of communication for meeting coordination, ensuring smooth interactions between stakeholders. From sending out invites to tracking meetings and effectively communicating rescheduling requests, your contribution will be essential to our operational efficiency.
Responsibilities:
- Send calendar invites to meetings prospects booked by our outreach team based on details fetched from cold-calling transcripts.
- Draft and send value driven emails to the prospects booked into the calendar for each client.
- Send reminder emails to prospects before meetings throughout different intervals of days and hours before their set meeting time.
- Keep all of our clients informed beforehand about the status of their upcoming meetings/calls after getting confirmations from the internal outreach team.
- Join these meetings to let both parties of the meetings into the link and initiate the conversation if needed between our client and the meeting prospect.
- Get feedback from each client on their meetings/calls.
- Communicate the feedback back to the team and maintain a clear and updated record of meetings booked, invites sent, reminder emails sent, meetings to be rescheduled, and upcoming appointments, etc.
- Ensure professional and timely communication with all parties.
Qualifications:
- Strong communication skills, both written and verbal.
- Ability to work independently and as part of a team.
- Strong organizational skills and attention to detail.
- Ability to improvise and be quick on your feet
- Proficiency with writing value driven emails and keeping clients informed at all times.
- Proven ability to multitask and manage multiple priorities simultaneously.
- Proficiency in calendar management and scheduling tools (e.g., Google Calendar, Outlook).
