Description:
The Front Desk Officer (FDO) is the first point of contact for clients visiting Psych Cares. The FDO plays a critical role in maintaining the welcoming atmosphere of our clinic and ensuring smooth administrative operations.
Key Responsibilities:
- Greet and welcome clients warmly as they arrive at the clinic
- Answer phones, direct calls to the appropriate staff members, and handle inquiries
- Schedule and confirm appointments with clients
- Maintain accurate and up-to-date client records and management files
- Process payments and handle billing efficiently
- Track accounts payable and accounts receivable
- Monitor and manage petty cash
- Provide administrative support to the psych cares staff
- Assist with client check-in and check-out procedures
- Ensure the reception area is tidy and presentable, with all necessary stationery and materials
- Address client queries and concerns with professionalism and empathy
- Other duties as assigned to support the smooth operation of the clinic
Qualifications:
- High school diploma or equivalent; additional qualifications in office administration are a plus
- Proven experience as a Front Desk Officer or in a similar role
- Proficient in Microsoft Office Suite (Word, Excel, Outlook)
- Excellent verbal and written communication skills
- Strong organizational and multitasking abilities
- Customer-service oriented with a friendly and professional demeanor
- Ability to handle sensitive and confidential information with discretion
- Familiarity with office management procedures and basic accounting principles
