Front Desk Officer

 

Description:

The Front Desk Officer (FDO) is the first point of contact for clients visiting Psych Cares. The FDO plays a critical role in maintaining the welcoming atmosphere of our clinic and ensuring smooth administrative operations.

 

Key Responsibilities:

  • Greet and welcome clients warmly as they arrive at the clinic
  • Answer phones, direct calls to the appropriate staff members, and handle inquiries
  • Schedule and confirm appointments with clients
  • Maintain accurate and up-to-date client records and management files
  • Process payments and handle billing efficiently
  • Track accounts payable and accounts receivable
  • Monitor and manage petty cash
  • Provide administrative support to the psych cares staff
  • Assist with client check-in and check-out procedures
  • Ensure the reception area is tidy and presentable, with all necessary stationery and materials
  • Address client queries and concerns with professionalism and empathy
  • Other duties as assigned to support the smooth operation of the clinic

 

Qualifications:

  • High school diploma or equivalent; additional qualifications in office administration are a plus
  • Proven experience as a Front Desk Officer or in a similar role
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook)
  • Excellent verbal and written communication skills
  • Strong organizational and multitasking abilities
  • Customer-service oriented with a friendly and professional demeanor
  • Ability to handle sensitive and confidential information with discretion
  • Familiarity with office management procedures and basic accounting principles
