Description:
We are seeking a highly organized and efficient Executive Secretary to provide administrative support to the CEO. The ideal candidate will be responsible for managing the executive's schedule, coordinating meetings, handling confidential information, and ensuring seamless communication within the organization.
Responsibilities
- Coordinate and manage the CEO’s schedule, including appointments and meetings.
- Anticipate and prioritize the CEO’s commitments to ensure efficient time management.
- Act as the primary point of contact for the CEO, handling and screening phone calls and emails.
- Draft, edit, and proofread, documents on behalf of the CEO.
- Schedule, prepare agendas, and organize meetings, ensuring all necessary materials are available.
- Maintain and organize confidential documents, files, and records.
- Implement effective document control procedures to ensure data security and accessibility.
- Provide general administrative support to the executive team as needed.
- Assist in preparing presentations, reports, and other materials for CEO’s use.
- Build and maintain positive relationships with the CEO’s team.
Qualifications & Experience
- 2 years of work experience as an Executive Assistant, Personal Assistant, or similar role, preferably in a fast-paced environment
- Proficient in Microsoft Office suite
- Experience in managing multiple priorities, administrative coordination, and logistics
- Well-organized, detail-oriented, ability to multi-task with great follow-up skills
- Strong written and verbal communication skills
- Fluent in written and spoken English.

- Familiarity with executive-level responsibilities and tasks, monthly review meetings, and meeting agendas.
