Complete a broad variety of administrative tasks for the departmental leader including managing several active calendars of appointments; composing and preparing correspondence that is often confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings.
Plan, coordinate, and ensure the leader’s schedule is followed and respected. Provide "gatekeeper" role, creating win-win situations for direct access to the leader’s time.
Communicate directly, and on behalf of the leader with stakeholders, investors, partners, and others, on matters related to programmatic initiatives.
Provide a bridge for smooth communication between the leader and external contacts.
Work closely and effectively with the leader to keep them well informed of upcoming commitments and responsibilities, following up appropriately.
Complete critical aspects of deliverables with a hands-on approach, including drafting acknowledgment letters, personal correspondence, and other tasks that facilitate the leader's ability to effectively lead the department.
Prioritize conflicting needs; handle matters expeditiously, proactively, and follow-through on projects to successful completion, often with deadline pressures.
Requirements:
5+ years of experience supporting C-Level Executives
Proficient in Microsoft O365 (Outlook, Word, Excel, PowerPoint, and SharePoint)
Expert-level written and verbal communication skills
Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response
Strong organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
