Client Services Coordinator

 

Description:

We are looking for a proactive and detail-oriented Client Relationship Executive / Coordinator to join our team. The ideal candidate will be responsible for handling customer queries related to printing and packaging, gathering client requirements, coordinating with the internal team, and ensuring seamless communication between clients and relevant departments. This role demands strong organizational skills, attention to detail, and excellent communication abilities.

Key Responsibilities:

Client Communication & Query Handling:

  • Serve as the primary point of contact for clients, addressing their inquiries regarding printing and packaging services.
  • Understand client requirements, clarify doubts, and provide necessary information in a timely manner.
  • Maintain professional relationships with existing and potential clients to enhance customer satisfaction.
  • Proactively engage clients with updates on new products, services, and promotions to enhance business opportunities.

Data Collection & Coordination:

  • Gather detailed project specifications, artwork files, and other relevant information from clients.
  • Share collected details with the internal team, ensuring clear understanding and smooth execution of projects.
  • Follow up with internal teams to keep track of job progress and relay updates to clients.

Quotation & Order Processing:

  • Prepare and send accurate quotations to clients based on their requirements.
  • Ensure timely follow-ups on quotations and address any client concerns.
  • Process confirmed orders and ensure all necessary details are documented correctly.
  • Work closely with the marketing team to strategize competitive pricing and promotional offers for clients.

Job List Management & Reporting:

  • Maintain and update the job list on a regular basis to track the progress of ongoing projects.
  • Ensure deadlines and commitments are met by coordinating with relevant departments.
  • Generate and share periodic reports on client interactions, job statuses, and pending tasks with management.

Marketing & Client Engagement:

  • Assist in developing client engagement strategies to enhance brand awareness and loyalty.
  • Identify new market trends and opportunities to boost client retention and sales growth.
  • Represent the company at industry events, networking meetings, and trade shows to build and maintain client relationships.

Additional Responsibilities:

  • Support in client meetings and discussions, taking notes and ensuring all requirements are documented.
  • Collaborate with the sales and marketing teams to improve client engagement strategies.
  • Assist in resolving any issues or escalations related to customer requests and orders.

Required Skills & Qualifications:

  • Bachelor’s degree in Business Administration, Marketing, or a related field.
  • 1-2 years of experience in client relationship management, preferably in the printing and packaging industry.
  • Strong communication and interpersonal skills.
  • Excellent organizational and time-management abilities.
  • Proficiency in Microsoft Office (Excel, Word, Outlook) and CRM software.
  • Ability to multitask and work under tight deadlines.
  • A proactive and problem-solving mindset.
  • Strong marketing acumen with an ability to identify client needs and align them with company offerings.
